What you will need ready.

School-side prerequisites

  • A Writeiq licence key (we issue this after you sign the licence agreement)
  • Your school name as it should appear on student family reports
  • A school logo if you want it on family reports (PNG, 200×200 minimum)
  • The class lists you intend to use, with year level and teacher name
  • Network whitelisting for app.writeiq.com.au and writeiq.com.au if you run a content filter
  • One school leader who will hold the admin PIN (changeable, default forces rotation on first login)
  • One IT contact for the network-side checks (single setup, not ongoing)

5 minutes · Admin

Activate your licence

Go to app.writeiq.com.au, click "Activate licence", and paste the licence key we sent. The school workspace is provisioned within seconds. You will be prompted to set a school admin PIN. Use this PIN to gate access to settings, billing, and audit logs.

  • Your school workspace is created with row-level isolation - no other school can ever see your data
  • Default daily marking cap protects against runaway costs while you find your usage pattern
  • Sentry telemetry is on by default for incident response; you can opt out at any time

Network whitelist (if needed)

If your school runs a content filter (Fortinet, Linewize, Lightspeed, the DE Victoria centralised filter, or similar), add the two Writeiq domains to your school's allow-list. The marketing site and the app live on different subdomains so they need separate entries.

  • app.writeiq.com.au — the application itself
  • If your filter has a "Newly Registered Domain" heuristic, both domains may be flagged in the first 30 days — whitelist explicitly to avoid the heuristic
  • For DE Victoria centralised filtering, IT submits a whitelist request to the DET central filter team; we have done this previously, ask us for the precise wording

Add classes and teachers

From the admin dashboard, paste your class list as CSV - one row per class with year level and teacher name. Teachers receive an email with their personal login link and a 60-second product tour. They self-onboard from there; you do not need to be in the room with each one.

  • Sample CSV format provided in the dashboard - copy your sheet directly
  • Compass integration available if your school uses Compass for staff and student data — the rosters sync automatically
  • Class re-naming, splitting, and merging are reversible
  • Teachers can have any role: teacher, year-level coordinator, head of department, leader

20 minutes · School leader and IT lead together

Set the first task and run a test

Pick one task, one class, and one piece of student writing you have in hand from earlier in the term. Mark it through Writeiq. Watch it go through the full pipeline - upload, marker pass, banded result with per-criterion evidence, family report PDF. The whole thing takes under two minutes for a single piece. This is your end-to-end functional test.

  • If anything looks wrong - score, evidence, family report - the support contact responds within four business hours
  • The "Adjust" button on any criterion is the moderation pathway: change the score, add a reason, the original is retained alongside
  • The lesson plan generator runs from the same marking event — check it produces a teachable lesson on the dimensions the cohort needs

40 minutes · Whole department

Run your first real marking event

Pick a single task across one year level and run the whole cohort through Writeiq. Teachers see their own class results; the head of department sees the year-level rollup. After the marking event, schedule a 30-minute department meeting to read the cohort patterns and set the targeted teaching focus for the next two weeks.

  • Family Reports - one click, one page per student, ready for parent-teacher interviews
  • Class Snapshot - the writing-level distribution; the worst criterion across the board; recommended teaching priority

Roles

Who does what.

Writeiq is built around three personas. Each has a different lens on the same marking event.

School leader
Sees: cohort-level patterns, year-level distributions, term-over-term trends. Approves the licence, holds the admin PIN, sets the school-wide configuration. Reads the leader panel for whole-school literacy strategy.
Teacher / Head of department
Sees: their own class submissions, the marking summary, the lesson plan generator, the per-student feedback editor. Runs the day-to-day classroom workflow. Heads of department also see the year-level rollup across their team's classes.
IT lead
Sees: the network configuration, the data processing agreement, the security and audit log surface. One-time setup at onboarding; ongoing involvement is minimal except when the school renews or expands its licence.

The first two weeks

During the first two weeks after activation, we respond to support tickets within four business hours during AU business hours. After that, the standard support SLA applies.
